How Relay uses your information

Relay is the daily reporting system Relay trial uses. You send your daily update, tasks and requests to the Relay bot on Telegram, and the director sees them in one place. This page explains what is kept, why, and what you can ask for.

What is kept about you

  • Your name, job title, department, who you report to and, if given, your phone number.
  • Your Telegram account number and username, so the bot knows it's you.
  • Your daily updates (check-in answers and notes), your tasks and what you marked done or blocked, and your daily scores.
  • Requests you raise (tickets) and the conversation on them.
  • Messages you send the bot and the messages it sends you, and Excel sheets you send it.
  • Voice notes are turned into text; the text is kept, the recording is not.

Why

So the director can see each person's day, give and follow up tasks, decide on requests, and spot problems early. It is used for work reporting at Relay trial only. It is never sold, and never used for advertising.

Who can see it

  • The director, and the super admin who looks after Relay.
  • People the director adds to one of your requests (for example the accountant) see that request's conversation.
  • Other employees do not see your updates, scores or messages.

Outside services that handle it

  • Telegram carries the messages between you and the bot.
  • AI services (OpenRouter, and the AI companies it connects to, such as Anthropic and Google) read free messages, voice notes and daily updates to work out what they're about and to point out anything unusual. They don't decide anything: the director does.
  • The hosting service and database provider store Relay and its data.

How long it's kept

  • Messages with the bot, and Excel sheets you send it: 12 months, then deleted automatically.
  • Your updates, tasks, requests and scores: while you work with Relay trial.
  • A record of who did what and when (for example "Ravi sent today's update") is kept for as long as Relay is used, so it can be checked later. It never includes the words you write: not your messages, requests, notes or written answers.
  • Backup copies: up to 90 days.

What you can ask for

You can ask Relay trial (through the director) to show you what Relay keeps about you, to correct anything wrong, to explain how it's used, and to erase your personal information when it's no longer needed (for example when you leave). You can also ask any question about this notice.
